Overview

Zaarow ("Zaarow," "we," "us," or "our") provides software that lets construction, architecture, and trade businesses log field activity — time, expenses, mileage, equipment, schedules, and notes — by talking, typing, or texting. This Privacy Policy explains what information we collect, how we use it, and the choices you have. It applies to our website and the Zaarow application (together, the "Service").

Information we collect

Account and team information. When you sign up or are added to an account, we collect your name, email address, role, and — if you use text-message logging — your mobile phone number. Account owners also provide their business name.

Content you log. We store the information your team submits through the Service, including time entries, expenses, mileage, notes, tasks, projects, equipment records, schedule events, photos, and the messages you send to the assistant.

Voice recordings. If you use voice input, your audio is sent to our transcription provider, converted to text, and the resulting text is saved as your message. We do not retain the audio file after transcription.

Text messages (SMS/MMS). If your team logs by text, we receive the phone number, message content, and any photos sent to your account's Zaarow number, processed through our telephony provider.

Payment information. Paid subscriptions are billed through our payment processor. Card details are handled by the processor; we do not store full card numbers on our servers.

Location. The optional weather feature uses an approximate location (a business address you set, a project location, or your browser's location if you allow it) to fetch a local forecast.

Technical information. Like most online services, we automatically receive standard log data such as IP address, device and browser type, and usage events needed to operate and secure the Service.

How we use information

  • To provide, maintain, and improve the Service.
  • To parse and organize the activity your team logs into the right categories and records.
  • To send transactional messages — confirmations, reminders, alerts, and the weekly and monthly reports you configure.
  • To process payments and manage subscriptions.
  • To protect the Service against fraud, abuse, and security threats.
  • To respond to support requests and communicate with you about your account.

AI processing

Core features of the Service use third-party AI providers. The text of the messages you send (and photos you attach) is sent to our AI providers to interpret what you logged, categorize it, transcribe voice, and read information from photos such as receipts and equipment nameplates. Our providers process this content to return a result to us; we do not permit them to use your content to train their models. AI output can be imprecise — please review important results.

Text messaging

If you opt in to SMS logging, you consent to receive and send text messages related to your account. Message and data rates may apply, and message frequency varies based on your usage. You can stop messages at any time by replying STOP, or get help by replying HELP. Carriers are not liable for delayed or undelivered messages. We do not sell or share mobile information with third parties for their own marketing.

Service providers

We share information with vendors who process it on our behalf, only as needed to run the Service. These include:

  • Cloud database, authentication, and file storage (Supabase).
  • Application hosting (Railway and Vercel).
  • AI processing for chat, vision, and voice transcription (Anthropic and OpenAI).
  • Text messaging (Twilio).
  • Payment processing (Stripe).
  • Bot/abuse protection (Cloudflare).
  • Email delivery for confirmations and reports.
  • Weather data (Open-Meteo).

Each provider is bound to handle the information consistently with this Policy.

How we share information

We do not sell your personal information. Within your account, the information your team logs is visible to other authorized members of that account according to their permissions. We may disclose information if required by law, to enforce our agreements, to protect the rights and safety of Zaarow or others, or in connection with a merger, acquisition, or sale of assets.

Data retention

We retain account information and logged content for as long as your account is active and as needed to provide the Service. After an account is closed, we delete or anonymize data within a reasonable period, except where we must keep records to comply with legal, accounting, or security obligations. You can request deletion of your data as described below.

Security

We use reasonable technical and organizational safeguards to protect your information, including encryption in transit, access controls, and private storage for uploaded photos. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

Your choices and rights

Depending on where you live, you may have rights to access, correct, export, or delete your personal information, or to object to certain processing. You can update much of your information directly in the app, opt out of SMS by replying STOP, and manage push notifications in your device settings. Children

The Service is intended for businesses and is not directed to individuals under 18. We do not knowingly collect information from children.

Changes to this Policy

We may update this Policy from time to time. When we make material changes, we will revise the "Last updated" date above and, where appropriate, provide additional notice.
